Cloud School (Progresso) - Getting Started

Cloud School (Progresso) - Getting Started

Introduction

Cloud School (Progresso) is the Management Information System (MIS) which The Forest of Dean Trust uses across it's sites. It holds all of our data on students (including timetables, progress assessments, SEN, pupil premium etc.) student contact detailing and staff information.

Staff can log in to Progresso to log attendance and behavior etc. Please watch the video and read the introductory document below to get you started.

It is provided and hosted by Advanced Computer Software (https://www.oneadvanced.com/solutions/progresso/) and is accessible via a web browser from any internet connected device by staff, parents/carers and students.

It is GDPR compliant for secure data storage and each user only sees the information they are allowed to see.

The login page is www.progresso.net or use the link on the Staff homepage or website Quicklinks.

Manuals are available on our Whole School Information / Help (and Guides) / Progresso Manuals Google Drive folder.

Logging In

When your account is created, you’ll receive an email with your username and a link to access your account. Click on the link within 24 hours to register and set your password.

Important: Make note of your Username!
If you don’t click the link within 24 hours, you can use the ‘Forgot password?’ link on the Progresso homepage, but you will need to know your username (usually 4 letters from surname, 3 from forename).

Differences from the Facility/ePortal

Some of the major differences you may notice if you’re a current Facility/ePortal user:
  1. Same system for all users. Unlike Facility and ePortal, everybody uses the single web-based system which is hosted, backed up, updated and maintained by Advanced Computer Systems.
  2. Preferred names are the default. Student and staff are generally referred to by their preferred names; legal names are saved in the system for official purposes e.g. exams.
  3. Access from anywhere. Although you could access ePortal from outside school, Progresso is fully available wherever you are; the difference will mainly be noticed by Facility users!
  4. Much more information available. Staff, parents (and students) can see far more information and data in Progresso than has ever been available via ePortal, consolidating multiple systems into one place.
  5. Live data 24/7. Unlike ePortal which sometimes takes overnight to update, or external systems or spreadsheets that require manual synchronisation, any changes are available immediately to all users in Progresso.
  6. A Timetable Extraction ‘locks’ some parts of the system; e.g. you can’t change group codes until the extract is reintegrated by the timetabler.

First Steps

1 - Update Profile

Please click on the ‘Profile’ button in the top right hand corner of the screen and check your details. You can update contact information, your car details and other information here.

Note: any updates won’t apply immediately; they will need to be accepted/approved before showing in the system.

The ‘Account’ tab in Manage Profile lets you choose your default role (see following section), set a password and link to a Google account so you can login using the ‘Sign in with Google’ button on the Progresso homepage.

To unlink your Cloud School account from your Google account, click the ‘Signed In’ button.

Cloud School Basics

Roles

There are different ‘roles’ in Progresso, each with different permissions and a focus on specific areas e.g. exams, assessment, attendance and so on.
You may have different roles assigned to you. If so, you can switch between them using the dropdown to the right of the Dene Magna logo.

Navigate to different sections of Progresso using the menu on the left hand side of the screen. Hovering over an icon will bring up a text tip. Click the arrow at the top to expand/hide a full menu with text.

Some menus have submenus; click through to find the section of the system you need to access.

Dashboard

Your Progresso homepage will contain some default information and links that Advanced or Dene Magna consider useful to you. These ‘widgets’ are set and pushed out to you and are likely to change over time.

Remember; the information shown on the widgets is live and updates instantly as changes are made e.g. attendance, assessments, changes to learners and groups so this screen can change constantly.

The dashboard is also customised to your role, so changing your role will show you different information.

Lists, Filtering & Sorting

Progresso lists tend to use a standard approach across the system.
  1. By default, lists show a limited number of ‘records per page’ that can be changed using the dropdown. Navigate to further pages of records using the arrows or page numbers at the top of the list.
  2. Filters can be applied. Some lists have defaults (e.g. the Learner list defaults to ‘Active’ students). (You can also choose to sort the list from the ‘Advanced Filter’ link.)
  3. You can sort by clicking the column header.
  4. The ‘More Actions’ button gives you access to:
    1. SMS or email the learners, staff or contacts selected in the list
    2. Upload document to selected records
    3. Change the list view (e.g. add/remove columns or select another predefined view)
    4. Report on the selected data
  5. Although one of the main aims of Progresso is to give you live access to the data you need when you need it, you can export or print from the list view.

Admin Functions

Learner Group Management

Click on Data / Groups / Learner Groups.
  1. You can choose which type of group you want to work with at the top of the screen.
  2. By default, you will see ‘Active’ groups i.e. those with a start date before today and end date after today. Use the filters to select this year/next years group, narrow down to subject or year etc.
  3. Edit a group by checking the box next to it and choosing one of the options at the bottom e.g. assign learners, edit the group name/code or delete it.

Group Matrix Screen

To enter the Group Matrix screen, select multiple groups, then click ‘More Actions / Group Matrix’.
Please see Section 12.2.3 in the Progresso ‘Startup Training Manual’ (click here for a copy) for more information.
